Grow Marketing Agency California

Adding help to an agency: four ways and what each costs a month

Our estimate for 40 hours of client work a month in California is at least $2,477.10 with a part-time hire, and $808 to $2,008 with contractors. Outsourced VAs come to $608 to $1,008 through Upwork, $907 with Wing or $1,688 with Time etc, and DeskTeam360's lowest plan to at least $1,704.92. Which way fits turns on the work, who you want managing it, and the California rules each way brings.

What workload and assumptions are these totals built on?

Every total uses the same 40 hours of client work and the same assumptions.

Each way is costed for one shared workload, our estimate: 40 hours a month of client production work, such as designs, landing pages, emails and social posts.

  • You spend 4 hours a month to brief the work and check it, the same for every way. That's our estimate.
  • We value an hour of your time at the Bureau of Labor Statistics' 2025 average for marketing specialists: $51.98 in California and $43.03 at US pay. That's our estimate of what your hour is worth. It says nothing about what you earn.
  • So your review time comes to about $208 a month in California, or about $172 at US pay.
  • The part-time hire is paid for the 40 hours only, at that same average pay. Real pay depends on the person.
  • The hire's employer taxes we can source: 7.65 percent of pay for Social Security and Medicare, and on the first $7,000 of pay a year, California's 3.4 percent new-employer unemployment tax, its 0.1 percent training tax, the 0.6 percent federal unemployment tax after credit and California's 1.2 percent federal credit cut for 2025.
  • The 2026 credit cut isn't final until November 10, 2026. With the Labor Department's potential total cut of 5.3 percent, the hire costs $23.91 more a month.
  • Contractors are priced at what Upwork says digital marketers on its site generally charge, $15 to $45 an hour. That's Upwork's own figure for its whole site, so it isn't a California rate. No second platform's rate is on file.
  • Outsourced VAs are priced three ways: what Upwork says VAs generally charge, $10 to $20 an hour, Wing's part-time plan at $699 a month for 80 hours, and Time etc's forty-hour plan at $1,480 a month.
  • Each VA firm is priced at its smallest plan that covers 40 hours, so Wing's plan buys 80 hours, twice this workload.
  • DeskTeam360 is costed on Entrepreneur, its lowest plan: $1,497 a month, with 1 active task at a time. DeskTeam360 doesn't publish how much work that plan holds in a month, which makes its total a floor.
  • Left out of every total: workers' comp, the cost to hire, paid sick leave time, platform fees, any setup, benefits and tools. Each of these varies.
  • The hire's totals mix 2025 pay with 2026 tax rates, and each seller's price is as its own page showed it in October 2026.
  • The workload, the review hours and the value of your hour are our estimates, since no source gives them.

How do the four monthly totals compare?

Side by side, the four monthly totals run from $608 through Upwork VAs to $2,477.10 or more for a part-time hire, and each one buys something different.

The platform's own fee is extra and varies. On the fee alone, contractors and VAs through a platform can cost less than DeskTeam360's lowest plan, and the four buy different things, so we don't call any total here the lowest cost overall.

What does hiring in-house staff cost?

A part-time hire for 40 hours a month costs at least $2,477.10 in California, by our estimate, before workers' comp and the cost to hire.

  • Pay: 40 hours at $51.98 is $2,079.20 a month. At US pay, 40 hours at $43.03 is $1,721.20.
  • California pay for marketing specialists runs $8.95 an hour above US pay, or $358 over 40 hours (2025).
  • Social Security and Medicare, the employer's share: 6.2 percent plus 1.45 percent is 7.65 percent of pay, or $159.06 in California and $131.67 at US pay. Social Security applies to pay up to $184,500 in 2026.
  • Unemployment and training taxes: 3.4 plus 0.1 plus 0.6 plus 1.2 is 5.3 percent of the first $7,000 of pay, or $371 a year, which is $30.92 a month.
  • The 1.3 percent disability tax comes out of the worker's pay, so it isn't counted as your cost.
  • Total in California: $2,079.20 + $159.06 + $30.92 + $207.92 = $2,477.10.
  • With the 2026 potential total cut of 5.3 percent in place of 1.2, the yearly tax is $658, or $54.83 a month, and the total is $2,501.01, which is $23.91 more. That cut is final on November 10, 2026.
  • At US pay, only the federal tax after full credit is counted: 0.6 percent of $7,000 is $42 a year, or $3.50 a month. So $1,721.20 + $131.67 + $3.50 + $172.12 = $2,028.49, before state taxes, which vary by state.
  • If the work is design, a graphic designer at California's 2025 average of $41.73 an hour costs $1,669.20 for 40 hours, and at least $2,035.73 a month in all, or $2,059.64 with the 2026 potential cut.
  • Workers' comp and the cost to hire are left out of the total. The premium varies by insurer and by the work. The cost to hire varies.
  • An employer's other duties in California, from paid sick leave to workers' comp, are on the California rules page.

What do contractors cost?

Contractors cost $808 to $2,008 a month in California for 40 hours, by our estimate, plus the platform's fee.

  • Upwork says digital marketers on its site generally charge $15 to $45 an hour (October 2026). 40 hours at $15 is $600, and at $45 it's $1,800.
  • With your review time: $600 + $207.92 = $807.92, and $1,800 + $207.92 = $2,007.92. At US pay: $772.12 to $1,972.12.
  • For design work, Upwork says designers generally charge $15 to $35 an hour, and $60 to $120 for harder, faster or more senior work. At $15 to $35, 40 hours with your review time come to $807.92 to $1,607.92.
  • In California, a freelancer counts as a contractor only if the worker test allows it. The test and its exception for marketing and design work are on the California rules page.

What do outsourced VAs cost?

Outsourced VAs cost $608 to $1,008 a month through Upwork, $907 with Wing and $1,688 with Time etc, by our estimate with your review time.

  • Upwork says VAs on its site generally charge $10 to $20 an hour (October 2026). 40 hours come to $400 to $800.
  • Wing lists a part-time plan of 80 hours a month for $699 (October 2026). That's $8.74 an hour over 80 hours, or $17.48 an hour if you use only 40.
  • Time etc lists 40 hours a month for $1,480 (October 2026), which works out to $37 an hour.
  • With your review time: $400 + $207.92 = $607.92, $800 + $207.92 = $1,007.92, $699 + $207.92 = $906.92, and $1,480 + $207.92 = $1,687.92.
  • At US pay, the low end of each is $572.12, $871.12 and $1,652.12.
  • Upwork's examples of VA work are admin support, customer service, and bookkeeping and invoicing. What a VA can take on depends on the person and the firm.
  • A VA you hire through Upwork is a freelancer you pay directly, so California's worker test applies. How a VA firm employs its assistants isn't on its price page.

What does a month of Office-Based Insourcing cost?

DeskTeam360's lowest plan costs at least $1,704.92 a month in California with your review time, by our estimate.

  • The three plans differ by how many active tasks are in progress: Entrepreneur runs 1 and costs $1,497 a month, Marketer runs 2 at $2,994, and Agency runs 3 at $4,491.
  • Whichever plan you pick, you get the full team and all its services, and what changes is the number of tasks in progress.
  • On every plan, your work goes to a North American account manager, then to a team leader. Behind them sit two each of developers, designers and technical Virtual Assistants. DeskTeam360's founder also runs 2 group calls a week.
  • $1,497 + $207.92 = $1,704.92 in California, and $1,669.12 at US pay.
  • DeskTeam360 doesn't publish how much work a plan holds in a month. It breaks bigger projects into tasks and does them one after another, so this total is a floor.
  • Any setup cost varies. No contract ties you in, and you're free to cancel in any month.
  • To put it in scale, a year on Entrepreneur adds up to $17,964, while full-time work at California's 2026 minimum wage adds up to $35,152.

Which way fits your agency?

The right way depends on the work, who you want managing it, and the rules you're ready to carry.

  • A hire fits when you want one person on staff and can carry an employer's duties.
  • Contractors fit when you're ready to find, brief and manage each person, and the worker test allows it.
  • Outsourced VAs fit admin work such as support, bookkeeping and invoicing, the examples Upwork gives.
  • DeskTeam360 fits when you want one team for many kinds of client work, managed by its own account manager, 1 to 3 tasks at a time.

Charisma Ink does PR and marketing for firms in accounting and fintech. It used a series of contractors. Then it handed its design work, Amazon filing for its book publishing and project tracking to DeskTeam360. Its owner says the agency saves at least $20,000 a month compared with hiring or contracting, and now feels sure enough to take on more work.

How we worked this out

We costed each way at one workload. Pay comes from the Bureau of Labor Statistics' 2025 data, taxes from federal and California tax pages, and prices from each seller's own page, all read on October 28, 2026. The workload, the review hours and the value of your hour are our estimates. Each total is the sum shown above, and the totals leave out workers' comp, the cost to hire, sick leave time, platform fees, setup, benefits and tools.
